Scheduling Email Deliveries in Outlook

Overview

Microsoft Outlook allows you to schedule emails to be delivered at a later date and time. This feature is useful for sending messages during business hours, meeting deadlines, or ensuring your email reaches the recipient at the right moment.

1. Schedule an Email in Outlook (Desktop App)

Steps:

1. Open Outlook and compose a new email.

2. Once your message is ready, click the Options tab at the top of the message window.

3. Select Delay Delivery from the toolbar.

4. In the pop-up window under Delivery options, check Do not deliver before:

5. Choose the desired date and time for delivery.

6. Click Close, then send the message as normal.

Note: Your message will remain in the Outbox until the scheduled time. Outlook must be running at that time for the message to send.

2. Schedule an Email in Outlook on the Web (OWA)

Steps:

1. Go to Outlook on the web and sign in.

2. Compose a new email.

3. Next to the Send button, click the arrow (▼).

4. Select Schedule send.

5. Choose the date and time you’d like the email delivered.

6. Click Send to schedule it.

Tip: In Outlook on the Web, emails will send automatically at the scheduled time—even if your browser or device is closed.

3. View or Edit Scheduled Emails

Outlook Desktop

• Open the Outbox folder.

• Double-click the scheduled email to open it.

• Return to Options → Delay Delivery to adjust the delivery time or uncheck Do not deliver before to send immediately.

Outlook on the Web

• Go to Drafts → Scheduled folder.

• Select the scheduled message.

• Choose Cancel send to edit, reschedule, or send it immediately.

4. Common Issues

• Outlook Desktop not open: Messages won’t send at the scheduled time if Outlook is closed or offline.

• Mailbox sync delays: Large attachments or poor network connections may delay delivery.

• Time zone changes: Double-check your Outlook time zone settings to ensure accurate delivery scheduling.
